Voice Mail


Voice Mail is an electronic voice messaging system that gives you an easy, fast, and dependable way to communicate with people. It is as convenient and easy to use as a telephone answering machine, but you can also do the following:

Listen to, record, edit, and send messages
Play back messages either at your desk, or from nearly anywhere.

Instead of memorizing commands, you may press * at anytime while in voice mail and receive automated instructions. The prompts tell you which commands you can use at that moment. To interrupt a prompt, press any key. The system stops the prompt and responds to your request.

If the line is busy when you call another Voice Mail user, or there is no answer, you will hear a
greeting; you can then decide whether to try calling later or leave a message. When you have finished, just hang up.

Voice Mail notifies you when a new message arrives for you; if you have a message waiting indicator on your phone, it lights up. Otherwise, you will need to check your mailbox periodically.

First Time Logging On

Logging on means gaining access to your mailbox in the Voice Mail system.

  • Dial the Voice Mail access number. (3000 on campus) (598-3000 if off campus, but local) (931-598-3000 if you are calling in long distance). Upon connection you will hear the prompt "Voice Mail. Mailbox?"
  • Enter mailbox number, followed by #.
  • Enter the password 598 _ _ _ _ (mailbox number), followed by #.
  • Press 84.
  • Enter in your old password 598 _ _ _ _ (mailbox number), followed by a #.
  • Enter in your new password _ _ _ _ (this must be a unique number and not the last 4 digits of your phone number and not numbers like 2000, 2222, etc., followed by a #.
  • Enter in your new password _ _ _ _, again then followed by a #.
  • You are now logged on.

To Retrieve Your Messages

  • Dial the Voice Mail access number. (3000 on campus) (598-3000 if off campus, but local) (931-598-3000 if you are calling in long distance). Upon connection you will hear the prompt "Voice Mail. Mailbox?"
  • Enter mailbox number, followed by #.
  • Enter the password, followed by #. (If this is the first time you have logged onto your mailbox, your
    password is the same as your mailbox number)
  • You are now logged on.
  • Voice Mail plays a summary of new and unsent messages. For example:
    "You have two new voice messages. One old message is still unsent."
  • After the summary, Voice Mail describes the first message, giving the following information: ·
    the message's number · the status of the message · who the message came from · whether the message is urgent or private, or whether acknowledgment has been requested · the date and time it was received.


For example: "Message five, new, from Salvador Smith, received Thursday at 2:35 p.m." If there are no new messages, Voice Mail describes the first unsent message. If there are no unsent messages,the first message in your mailbox is described.

Message Review

  • Play/Replay a Message-After Log On, Hear message description...Press 2, message is played...Hear
    "End of Message" prompt...Press 2...Hear "Start of Message" prompt, message is replayed.
  • Pause/Resume Play of Message-Press # to pause play of message...Hear "Playback Stopped" prompt,
    message play halted...Press 2 to resume play of message.
  • Skip Backward/Forward in Message-Press 1 to move back in message...Press 3 to move forward in
    message...You will be moved forward or backward 5 seconds each time the appropriate command
    is entered.
  • Advance/Move Back One Message-Press 6 to save current message and advance to next message...
    Press 4 to save current message and move back to previous message.
  • Delete a Message-Press 76 to delete current message and advance to next message.
  • Forward Message-After hearing the message..Dial 73..Enter mailbox number(s), followed by #..
    Press # a second time when finished..Follow prompts for introduction of message you are
    forwarding or Dial 79 to forward message.
  • Reply to Sender of Message-After hearing message...Dial 71...Follow prompts to send.
  • Reply to Sender and Other Recipients of Message-After hearing message...Dial 74...Follow
    prompts to send.
  • Call Sender-After hearing message...Dial 9.

To Change Password

After log on...Dial 84...Hear "New Password" prompt...Enter new password and press #...Hear new password prompt...Enter new password and press #...Hear old password prompt...Enter old password and press #...Hear confirmation prompt.

To Record Personal Greeting

  • External Greeting-After log on...Dial 82...Hear "Greeting" prompt...Dial 1...Dial 5...Hear tone...
    Record greeting...Press # when finished (Note).
  • Internal Greeting-After log on...Dial 82...Hear "Greeting" prompt...Dial 2...Dial 5...Hear tone...
    Record greeting...Press # when finished (see Note.)
  • Delete Greeting-After log on...Dial 82...Hear "External/Internal Greeting" prompt...Enter
    Greeting Number (1=External, 2=Internal)...Dial 76...Hear "Delete" prompt.

    Note-Press 2 to play and review the greeting you recorded. Although you may record both an internal and external
    greeting, only the external greeting is necessary for all calls.

To Create a Distribution List

After log on...Dial 85...Enter a number from 1 to 9 to identify your distribution list, followed by a #...Enter mailbox numbers, following each with #...ending the list with two ##...To review the list dial 2...to delete the list dial 76. (You may have nine different distribution lists with up to 99 extension numbers in each list.)

Tagging Messages

When you create messages they may be tagged using several option commands to indicate the way you want Voice Mail to handle your messages.
Acknowledgment-you will receive a notification when each recipient listens to your message, the message waiting light will light up on your phone.

  • Private-the recipient of the message tagged Private can't forward your message.
  • Time Delivery-the message is sent at the time and date you specify.
  • Urgent-the urgent message is announced when the recipient logs into their Voice Mail box.

    To tag an unsent message:
    Dial 70
    To tag for Urgent delivery Dial 1, for Private dial 4, for Acknowledgment dial 5, for Time
    Delivery dial 6. (see note below)

    Note: After dialing 706 you will be prompted to enter the month (1 for January, to 12 for December), the day (1-31), the hour (1-12), the minutes (01-59), the meridian (1# for a.m.-2# for p.m.)

Express Messaging (Leaving a message in a mailbox)

In order for someone to leave a message in your mailbox, they must dial: (3001 on campus) (598-3001 if off campus, but local) (931-598-3001 if calling long distance) and then enter your mailbox number when prompted.

Name Dialing

This Voice mail feature lets you call a person by spelling out their last name using the telephone keypad. (Most office phones are set up for name dialing, but none of the dormitories are a part of this system)

  • Dial (3003 on campus) (598-3003 if off campus, but local) (931-598-3003 if calling long distance)
  • Dial 66
  • Enter in the last name followed by the first (to reach Bob Smith, dial: smithbob or 76484262)

Note: for Q, dial 7, and for Z, dial 9.

  • If there are five or fewer names, the names are announced and a number is given to identify
    each name. If more than five matches are found, the system prompts you for the name again.
